POLICY - USE OF THE MEETING ROOMS

The Board of Trustees of the Metuchen Public Library invites community groups to use the Library’s meeting rooms, in accordance with the following policy:

I. CERTIFICATE OF INSURANCE

Effective October 1989, all organizations using the meeting rooms must present a Certificate of Insurance prior to the use of the room, reflecting liability insurance coverage of $1,000,000. Organizations in which membership is based upon appointment by the governing body of Metuchen, or which are directly related to the Metuchen Public Library or the Borough of Metuchen, are exempt. II. ELIGIBILITY

The meeting rooms may be used by organizations for meetings of an educational, cultural, or civic nature. They may not be used for meetings which are partisan, commercial, or religious in their nature. Groups may not charge admission fees, although they may restrict meetings to their own members.

III. FACILITIES AVAILABLE

Two rooms are available: one meeting room on the upper floor of the original building, designated the Community Room, and one room on the lower level, designated the Activities Room.

The Community Room facilities include: 70 chairs, folding tables, wall-mounted movie screen, lectern, piano, and an American flag.The Activities Room facilities include: 15 chairs and two tables.A sink and stove are available for the preparation of light refreshments.

The meeting rooms are available during business hours only.

IV. RESERVATIONS

Reservations may be made in person, in writing or by telephone. An Application Form and Certificate of Insurance must be completed and on file before the meeting. Reservations will be accepted in the order in which they are received.

V. RESPONSIBILITY OF GROUPS USING THE MEETING ROOMS

The room arrangement is the responsibility of the organization using the room. If chairs are used in the Community Room, they must be set up before the meeting and stacked in the corner at the end of the meeting.

Any group using a meeting room assumes responsibility for any damage to the room or its contents, through its officers or the individual who signs the application.

The Library is not responsible for equipment, supplies, materials, or other items owned by a group or used by them in the Library.

VI. REGULATIONS

Attendance is normally limited by the number of chairs available. In special cases, such as children being seated on the floor, the number may be increased BUT NOT TO EXCEED 85 in the Community Room nor 30 in the Activities Room.

Smoking is not permitted anywhere in the Library.No additional furniture or equipment, other than supplied by the Library, is to be used without prior approval.

Activities involving more than normal wear and tear on the rooms will not be permitted.

VII. OTHER USES

The Community Room may be used also by individuals for Study as the schedule permits. Requests should be made in person, at the front desk, upon arrival at the Library. Personal identification must be presented. (1/8/02)

Please note that use of the Library meeting rooms is a privilege, not a right. Please abide by the policies and regulations or the privilege may be withdrawn.

The Library Board of Trustees is glad to offer this facility for your use without charge. However, a contribution toward the maintenance and upkeep of the room would be appreciated. (11/30/95)
